A delivery discrepancy occurs when the quantity of goods delivered is visibly less than the amount listed on the shipping manifest. This unconcealed shortage is identified immediately upon arrival, typically before the carrier leaves the receiving dock. It is documented by making a direct notation on the delivery receipt or bill of lading.
Immediate Recording
The receiver’s warehouse staff must count the cases or pallets as they are unloaded from the transport vehicle. If there is a missing item, the truck driver and the receiving clerk must both sign the annotated delivery receipt to confirm the deficit. This immediate documentation prevents future disputes over when the loss occurred.
Liability Assignment
Once the shortage is confirmed, the supplier and the carrier must determine where the missing items were lost. If the shipping container’s security seal was broken, the carrier is usually held responsible for the lost cargo. If the seal is intact, the error likely occurred during the loading process at the supplier’s warehouse, which shifts the financial liability back to the manufacturer.
Financial Recourse
The buyer is entitled to deduct the value of the missing items from the final invoice payment. Suppliers must quickly update their accounts receivable to reflect the correct amount due.
